WHAT YOU WILL MAKE

A due/held/stopped quote table, one draft, and a duplicate-safe review log.

An authorized sales or office owner checking overdue quote follow-up.

Estimated effort
60–90 min sample exercise

First move
Use 2026-11-01 as the review date and classify each sample quote as draft, held, or stopped.
Prerequisites, inputs & cost details

Before you begin

  • A named mailbox owner and permission to contact each recipient
  • A reliable reply/status check before any real follow-up

Inputs you need

  • Unique quote ID, sent date, status, follow-up sent stamps
  • Reply, opt-out, and authorized-recipient state

The fictional queue is free. Real automation hosting, mailbox limits, and any reply-handling integration need their own review.

Review the fictional quote queue on 2026-11-01. Hold duplicate Q-101 for reconciliation; stop Q-102 because it has a reply, Q-103 because it is won, and Q-104 because of opt-out. Q-105 is eligible for a day-14 draft only after the mailbox owner rechecks replies and authorization. Draft one neutral follow-up and a review log; leave actual sent stamps unchanged. Do not contact anyone.

  1. Validate quote rowsRequire unique IDs and valid dates. Use an agreed business timezone and hold malformed or duplicate rows.
  2. Check stop conditions firstManually verify the mailbox and quote status. Stop on any reply, won, lost, opt-out, missing authorization, or uncertain reply state.
  3. Calculate the next due stepFor eligible open rows, compare elapsed days with 3/7/14 and existing sent stamps. Never replay already completed steps or create a burst of missed messages.
  4. Prepare and review one draftUse only approved quote facts. Recheck recipient permission and the latest reply/status immediately before an owner’s explicit approval.
  5. Reconcile and test repeatsDefine a unique quote-ID/step key and approval/delivery log. Actual sent stamps change only after a confirmed authorized send, never for a draft.

Review before a real build.

  • Stop on reply, won, lost, opt-out, unauthorized recipient, invalid/duplicate quote ID, or unknown reply state. The free source template has no reply detection.
  • Require manual mailbox/status review and explicit owner approval for every draft. Recheck stops immediately before any authorized send.
  • Do not treat a sent stamp as reply detection. Maintain unique quote-ID/step records, safe retry handling, and a delivery log; stop if duplicate protection cannot be enforced.
  • This exercise sends nothing, schedules nothing, and changes no invoice or payment record.
Measures to consider
  • Count due draft candidates, duplicate holds, and each stop reason separately.
  • Count reviewed drafts and actual authorized sends separately; log replies and outcomes without attributing causation.
  • Test the same rows twice and verify no repeated quote-ID/step draft. No ROI or revenue estimate is implied.

Primary source checked · Source review 2026-11-01. The free n8n template schedules 3/7/14-day follow-ups and records sent dates, but explicitly lacks reply detection. Manual reply verification and stop controls are required here. This is not a deployed integration, case study, or proof of demand or earnings.

Understand the approach.

A quote’s age can suggest a review. It cannot tell you whether the customer has already replied.

01

The outcome

+
  • Produce a review queue that explains why each quote is eligible, held, or stopped, with one unsent draft.
02

Who this is for

+
  • Service businesses with an existing quote relationship and an authorized mailbox owner. This is not a cold-outreach list.
03

Validate before building

+
  • Confirm a genuine follow-up gap, the permitted recipients, and who owns replies and quote status.
  • The free template explicitly leaves out reply detection. A manual check is a required gate, not an optional improvement.
04

Build the smallest useful version

+
  • The source reads open quote rows, calculates days since sent, selects an unsent 3/7/14-day step, and writes a sent date after Gmail sends.
  • Adapt that pattern to a draft queue. Add reply/won/lost/opt-out stops and authorization checks before selecting a step, and again before any approved send.
05

Deliver and operate

+
  • Review drafts with the owner and reconcile quote-ID/step logs before reruns. Mark an actual sent stamp only after confirmed delivery.
  • If a reply arrives, close the sequence and return ownership to the person handling that conversation.
06

Limits and things to check

+
  • Do not import the automatic-send workflow unchanged or assume sent stamps detect replies.
  • No template establishes ROI, conversion lift, consent, or an appropriate message cadence for every business.

Read the planning prompt

Classify the fictional quote fixture as of 2026-11-01 into due draft candidates, held rows, and stopped rows. Stop on reply, won, lost, opt-out, unauthorized contact, duplicate IDs, bad dates, or unknown reply state. Respect 3/7/14-day steps and existing sent stamps; do not catch up with multiple messages at once. Draft one neutral follow-up only for an eligible row. Define a unique quote-ID/step review log, manual mailbox recheck, and named-owner approval. Keep actual sent stamps unchanged for drafts. Do not contact recipients, schedule messages, or alter payment records until I approve. Explain that the free source has no reply detection and make no ROI claims.
